How Much Does an Answering Service Cost in 2026? Live, Virtual and AI Compared

Answering services bill per minute, per call or a flat monthly fee, and the same call volume can cost under $100 or over $800 depending on the model. Here is how to price one against your own calls.

Ask what an answering service costs and you will get an answer between $25 and $3,000 a month, which is true and useless. The spread is that wide because providers price four different ways, add fees that only show up on the first invoice, and sell very different things under the same name. This guide breaks the answering service cost down the way your bill will: by pricing model, by the extras that move the number, and by a ten-minute calculation you can run on your own call log.

What an answering service costs per month in 2026

Live answering services, where a person at a call center picks up in your business name, usually sell bundles of minutes. On the published pricing pages we reviewed in October 2026, those bundles worked out at roughly $0.75 to $2.50 per included minute, with small-business plans commonly landing between about $150 and $600 a month. Overage minutes beyond the bundle are almost always billed at a higher rate than the minutes inside it.

AI answering services and AI receptionists price lower because there is no agent on the other end. Most sit between roughly $50 and $300 a month, either as a flat fee or as a bundle of minutes that works out well under a dollar per minute. Hybrid services, where software answers first and a person takes over on harder calls, fall in between and are usually billed like live services for the human part.

The number that matters
Ignore the plan name and divide the monthly price by the minutes it includes. That per-minute figure, plus the overage rate, is the only honest way to compare two answering services side by side.

The four pricing models, and who each one suits

Per-minute bundles are the most common model for live services. You buy a block of minutes each month and pay extra beyond it. They suit businesses with predictable volume and punish a busy month. Check how each call is rounded: a service that rounds every call up to the next minute, or to a minimum length, quietly charges more than the talk time on your phone bill.

Per-call pricing charges a flat amount for every answered call, whatever its length. It is easy to forecast and expensive when many calls are short, which describes most wrong numbers, sales calls and "are you open?" questions. Flat monthly fees, common with AI services, charge the same whatever the volume, sometimes with a fair-use ceiling. Pay-as-you-go plans combine a small base fee with a per-minute rate and suit very low volume, but get expensive quickly once calls pick up.

Hidden costs that change the real price

Most surprise invoices come from the same short list. Setup or onboarding fees are charged once to build your script. After-hours, weekend and holiday surcharges raise the rate for exactly the calls you most wanted covered. Patch or transfer fees bill extra when the agent connects a caller to you. Some services charge separately for appointment scheduling, bilingual agents, call recordings or CRM integration.

Contract terms matter as much as the rate. Watch for minimum terms, cancellation notice periods and overage rates that are not printed on the plan card. Before signing anything, ask for one sample invoice for a business your size, with every line item shown. A provider that will not send one is telling you something.

After-hours answering service cost

Many businesses only need cover when the office is closed: evenings, weekends and holidays. Live providers often sell after-hours-only plans, but because overnight staffing is the expensive part of running a call center, the per-minute rate on those hours is frequently higher than daytime cover, not lower. Full 24/7 live coverage is where answering service pricing climbs fastest.

AI is cheapest exactly here. Software costs the same at 2 a.m. as at 2 p.m., there is no night shift to staff, and the minutes are drawn from the same monthly allowance. If most of the calls you miss arrive after closing, the gap between a live and an AI quote is usually widest on this line. We look at the night-time side in more detail in why after-hours calls are where jobs are won.

Work out your own number in ten minutes

Export one month of inbound calls from your phone provider. Count the calls you would want answered, then estimate an average length. A small service business that books appointments on the phone typically sees calls of three to four minutes, longer than a pure message-taking call because the caller is giving an address and choosing a time. Multiply the two and you have your monthly minutes.

Here is the arithmetic for 80 calls a month at 3.5 minutes each, which is 280 minutes. At a live rate of $1.50 per minute that is about $420 a month before any surcharges. On an AI plan with a 300-minute allowance it is the plan price and nothing more. Now run the same sum for your busiest month, not your average one, because that is the month an overage rate actually bills you.

Then put the price next to what a missed call is worth. If one booked job is worth $300 and you currently miss ten calls a month, the question is not whether a $150 service is cheap, it is how many of those ten it turns into bookings. We work through that calculation for one trade in what missed calls really cost a blinds business.

Live vs AI: what the money actually buys

A good live agent is better at the emotional call: the upset customer, the complicated complaint, the caller who needs reassurance more than an answer. Most live services take a message and pass it on, and booking straight into your calendar is often an extra or not offered at all. An AI receptionist answers every call at once with no hold queue, books into your own calendar, gives the same complete answer to every question you wrote down, and costs the same at midnight.

RingGenieHub is the AI kind, with plans starting at $79/month for 150 minutes and running to 1,250 minutes on Elite, transcripts on every plan, and English and Spanish on the same line. Overage is switched off unless you turn it on, and when you do it is capped at a limit you set, so the bill never runs away in a busy month. Compare the plans on our pricing page, or hear the demo before you put a number on it.

Frequently asked questions

How much does an answering service cost per month?

Live answering services commonly cost about $150 to $600 a month for a small business, and more for full 24/7 coverage. AI answering services usually cost about $50 to $300 a month. Divide the price by the included minutes to compare plans fairly.

Is it cheaper to pay per call or per minute?

Per-minute is usually cheaper when many of your calls are short. Per-call is easier to forecast and suits businesses whose calls are long. Run both against one month of your real call log.

Why is after-hours cover more expensive with live services?

Overnight and weekend staffing is the costly part of running a call center, so many providers charge a higher rate for those hours. Software has no night shift, so AI pricing does not change by the hour.

What hidden fees should I look for?

Setup fees, call rounding, after-hours or holiday surcharges, transfer fees, extra charges for scheduling or bilingual answering, minimum terms and the overage rate. Ask for a sample invoice before signing.

How much does a virtual receptionist cost compared with hiring?

A full-time in-house receptionist costs a salary plus taxes and benefits and covers only their working hours. A virtual receptionist or AI receptionist costs a monthly fee and covers evenings and weekends too.

Can an AI answering service book appointments?

Yes, if it connects to your calendar. RingGenieHub books into Google Calendar or Outlook and only offers times that are genuinely free.
